Current flow

A contractor receives a tender package with drawings, specifications and requirements. The estimating team reviews documents manually, extracts quantities, checks supplier pricing, calculates labor and material costs, applies margin, and prepares a proposal. The process is time-consuming, error-prone, and delays can mean missing the bid window. Change orders and RFIs during the project require re-estimating without a clear process.

Where complexity appears

Tender packages arrive as PDFs, CAD files and emails with inconsistent formatting. Quantity takeoff is manual and prone to error. Supplier pricing changes frequently and must be checked in real time. Margin calculations depend on complex factors including risk, market conditions and project complexity.

Target flow

An AI-enabled workflow that extracts quantities from drawings, checks current supplier pricing, calculates costs based on configured rates, applies margin rules, generates a draft proposal, and routes it for commercial approval before submission.

Step 1: Extract quantities

AI reads drawings and specifications, extracts quantities for materials and labor, and structures the data for cost calculation.

Step 2: Check supplier pricing

AI queries supplier APIs or price lists, filters by material specifications and location, and returns current pricing with lead times.

Step 3: Calculate costs

AI applies configured labor rates, material costs, overhead and margin rules to generate line-item costs and total project estimate.

Step 4: Approve and submit

Commercial team reviews the draft proposal, can adjust costs or margin, approves the submission, and the system generates the final document.

Existing systems

Supplier systems, pricing databases, accounting software and document storage remain in place. NorthFlow adds a workflow layer that connects these systems without replacing commercial judgment.

When custom software is not worth building

Evaluate before building

Custom engineering creates value when the workflow is important, repeatable, and has a clear return on investment. Consider alternatives when:

  • Tender volume is too low to justify automation
  • Supplier pricing APIs are not available or reliable
  • Drawings and specifications are too complex for AI extraction
  • Margin calculation logic is too context-dependent
  • Existing estimating software already handles the workflow adequately
