THE WORKFLOW IS THE PRODUCT.

Most businesses do not need another AI feature. They need the way work moves through the business rebuilt.

Revenue

Enquiry → qualify → CRM → follow-up → booking

Operations

Update → detect blocker → assign → approve → verify

Documents

Receive → extract → validate → approve → sync

WHAT WE BUILD

Five system families that drive business outcomes.

We build around the workflows that matter: revenue, customers, operations, documents, and decisions.

01

Revenue Systems

Capture → Qualify → Follow Up → Convert

Turn lead capture into an observable sales workflow with AI that qualifies, follows up, and hands off qualified opportunities.

→ AI Revenue Agent
02

Customer Systems

Bring together business records so leaders can inspect evidence, prioritize work and approve next actions.

→ AI Business Control Room

Trigger → Understand → Tools → Human approval → Execute → Measure

PRODUCTION AI WORKFLOW SPRINT

Take one high-value workflow from manual to production.

A focused implementation sprint that moves a narrowly scoped workflow from discovery to production.

01

Discover

Map the existing workflow, systems, bottlenecks and success criteria.

02

Design

Redesign the workflow around AI, automation and human decision points.

03

Build

Build the agents, software, integrations and data flows.

04

Control

Add permissions, approval gates, logging, monitoring and failure handling.

05

Deploy

Launch into the real workflow with testing, documentation and handover.

06

Improve

Measure performance and continuously improve the system.

Best suited for businesses that already have revenue, an established workflow and a clear operational bottleneck.

Most narrowly scoped workflow implementations can move from discovery to production within a focused implementation sprint. Exact timing depends on integrations, security, data and workflow complexity.

WHY PRODUCTION

AI demos are easy.

Production systems are harder.

A production AI system needs more than a good prompt. It needs controls, monitoring, and clear boundaries.

What data can it access?

Clear data boundaries and access controls.

What tools can it use?

Defined tool permissions and integration scope.

What actions can it take?

Action permissions with human approval gates.

When must a human approve?

Clear escalation criteria and approval workflows.

What happens when something fails?

Failure handling, retries, and fallback procedures.

What happened during the run?

Complete audit trails and run logs.

How is the system measured?

Performance metrics and continuous improvement.

BUILD VS. BUY

Own the software capability your business depends on.

See a feature in another app that you wish you had? We can build it for you.

Whether it's a customer portal, a custom dashboard, an approval workflow, or any capability your team relies on in another platform, NorthFlow can assess whether it makes sense to keep renting that feature—or build it directly into your own system.

Custom Workflows

Any workflow you see in another platform—from sales pipelines to approval chains—we can build it to match your exact business rules.

Client & Partner Portals

Like the customer portals you see in Salesforce or HubSpot, but built specifically for your customers with your branding and requirements.

Dashboards & Analytics

Reporting interfaces like those in Looker or Tableau, integrated directly into your system with real-time data and custom metrics.

Approval Systems

Multi-level approval workflows like those in SAP or Oracle, designed around your actual organizational structure and compliance needs.

Lead Management

Lead capture, scoring, and routing systems like those in Marketo or Pardot, built to work with your existing sales process.

Document Processing

Automated document workflows like DocuSign or PandaDoc, but fully integrated with your systems and business logic.

We don't rebuild software just because we can.

If an existing product already solves the problem well at a reasonable cost, keeping it may be the right decision.

KEEP

Keep the current platform if it already solves the problem well.

INTEGRATE

Connect it more effectively to existing workflows and systems.

AUTOMATE

Build automation around the parts that still require repetitive work.

BUILD

Create an owned implementation when the capability is strategically important enough.

Real examples of features we've built

Salesforce-style customer portal

A B2B manufacturer needed a customer portal like Salesforce's Customer 360. Instead of paying $150/user/month, we built a custom portal that lets customers view orders, track shipments, approve quotes, and access documents—all integrated with their existing ERP.

HubSpot-style lead routing

A services company loved HubSpot's lead scoring and routing but found it too rigid. We built a custom system that captures leads, scores them based on their actual qualification criteria, and routes them to the right team using their real territory rules—saving $30,000/year in subscription costs.

DocuSign-style approval workflow

A finance firm needed multi-level contract approvals like DocuSign, but with specific compliance requirements the off-the-shelf product couldn't handle. We built a custom approval system that routes documents through their exact approval hierarchy, tracks every action, and integrates with their document storage—fully owned and auditable.

Paying for software subscriptions often makes sense. But if your team is paying for a large platform primarily because of one or two specific features, it's worth asking: should those capabilities remain rented—or become part of your own system?

The question isn't simply "Can we build it?"

The better question is "Is this capability important enough to own?"

What feature do you wish you had?

Tell us about a feature you've seen in another app that your team needs. We'll assess whether it makes sense to keep the subscription, integrate it, or build it as part of your own system.

FREQUENTLY ASKED QUESTIONS

Questions about AI, automation and custom software.

Understand how NorthFlow approaches automation, custom software, integrations and production AI—from choosing the right workflow to implementation, monitoring and long-term ownership.

Usually not. NorthFlow can work around the CRM, ERP, databases, internal tools and other platforms your business already depends on. We replace software only when the existing system materially limits the workflow and there is a strong technical and commercial reason to do so.
No. Some problems are better solved with conventional automation, better software, cleaner integrations or a redesigned process. NorthFlow uses AI when it adds a meaningful capability such as understanding unstructured information, extracting data, classification, search, summarisation, recommendations or decision support. The goal is the right business system—not AI for its own sake.
Yes, where those systems provide reliable integration paths. NorthFlow can work with APIs, databases, webhooks and existing software infrastructure. If an integration is limited or unavailable, that constraint should be identified before committing to an architecture.
Yes. That is often the best way to begin. A company might start with: incoming request → classification → qualification → system update → assignment → follow-up. Once the workflow operates reliably, the architecture can expand into adjacent processes.
Production AI should not assume every model output is correct. Depending on the workflow, NorthFlow can use validation rules, confidence thresholds, human approvals, fallback paths, exception queues and audit trails. High-risk decisions can remain with authorised people while AI handles the preparation and repetitive work around them.
Yes. Many production systems should be human-in-the-loop. AI can prepare a recommendation, classify information or assemble a case while an employee retains responsibility for the final approval or action. The level of autonomy should reflect the business risk.
NorthFlow evaluates factors such as: workflow frequency, manual effort, delays, handoffs, error risk, repetitive decisions, exception handling, software fragmentation, and commercial importance. Not every process deserves custom automation. If the likely value does not justify the complexity, the correct recommendation may be not to build it.
Yes—when it makes technical and commercial sense. NorthFlow first understands what the capability actually does for the business, how it is used, what systems it interacts with and why ownership may be valuable. We can then design an independent implementation around the company's requirements. NorthFlow does not copy proprietary source code, protected assets or another company's branding.
That is exactly the kind of situation worth evaluating. The answer may still be to keep the platform. But when one capability is strategically important, poorly integrated or disproportionately expensive to access, NorthFlow can assess whether the better option is to: keep it, integrate it, automate around it, or build the capability in-house.
No. SaaS can be the better commercial choice. Building in-house makes sense when ownership, workflow fit, integration, strategic control or long-term economics justify the development and maintenance cost. NorthFlow should evaluate the trade-off rather than assuming custom software is automatically better.
Security is considered as part of system design rather than added afterward. Depending on the project, this can include: authentication, role-based access, controlled data flows, secure API usage, logging, auditability, and restricting which systems or models can access particular information. Specific security requirements are defined during architecture and implementation planning.
It depends on workflow complexity, integrations, data quality and required approval logic. NorthFlow normally prefers a bounded first implementation rather than attempting a large transformation immediately.
Good candidates often include: lead qualification and routing, RFQ and quotation workflows, document processing, onboarding, approvals, customer request triage, scheduling, reporting, internal search, CRM follow-up, portals, operational dashboards, and repetitive administrative work. The strongest opportunities usually involve repeated work, multiple handoffs or information moving manually between systems.
Project ownership and usage rights should be defined clearly in the commercial agreement. For custom implementations, the objective should be to give the client a system that can operate as part of its own business rather than creating unnecessary dependence on NorthFlow. Third-party services, APIs, models and licensed technologies remain subject to their respective terms.
Production systems usually need monitoring and refinement. This may involve: reviewing exceptions, improving workflows, updating business rules, monitoring model behaviour, improving integrations, and responding to user feedback. NorthFlow can provide ongoing support and expansion where required.
You do not need a complete specification. A useful starting point is: what the workflow looks like today, what people still do manually, which systems are involved, where delays or repeated work occur, which software the team already uses, and what the ideal process would do differently. NorthFlow can then determine whether the right solution is automation, AI, integration, custom software—or simply improving the existing process.
